GroundCloud Payroll - Employee Onboarding

To help make the onboarding process as fast and efficient as possible, please refer to the Pre-Enrollment Checklist for helpful tips on what to prepare before beginning enrollment.

Getting Started



You should receive an email notification when your employer invites you to enroll (self-onboard) in GroundCloud Payroll.
  1. Login to GroundCloud.io with your driver username and password.
    Note: you must login using a web browser, this cannot be done using the GroundCloud app.

     GroundCloud Payroll is powered by Gusto. The onboarding experience will occur across multiple browser tabs depending on the actions being performed. If you cannot finish a particular step, no problem! Your information will be saved as you go and you can return later to complete your entries.
  2. Click the Payroll Onboarding
    This will open a new browser tab in which you will complete the self-onboarding process.

  3. Read the Embedded Payroll Service Agreement and click  

  4. Then click Payroll Self Setup on the Payroll Employee Management Page.
  5. You will then be brought to the Personal Details Page

Personal Details


  1. Fill out your personal information.

    IMPORTANT! Your first and last name will be pre-populated based on your GroundCloud profile. This info will be used for payroll and tax purposes so it must be accurate. It is important to make sure your full legal first and last name are entered on this page correctly. (Changes made on the Personal Details page will not be reflected in your GroundCloud driver profile) 
  2. Check that all the information filled out is accurate and then click Save & continue.
  3. You will then see a message stating that you personal details have been saved. 
  4. You will proceed on the Employee profile page, enter your Home address and click Save & continue.

  5. You will then be brought to the Federal Tax page.

Federal Tax


  1. Enter your federal tax withholdings.
    Note: If you do not understand or do not have this information, click on the links listed directly on the Federal Tax page (IRS calculator or form W-4)
  2. Click Save & continue.
  3. You will then be brought to the State Tax page.

State Tax


  1. Enter your state tax withholdings.

    State tax information required will vary by the state in which your work address is located. As a result, your State tax page may not look the same as the one in the image.
  2. Click Save & continue.
  3. You will then be brought to the Payment Method page.

Payment Method


 If your company is participating in the GroundCloud Payroll pilot, payment by check will not be available, even though it is the default option and is selectable.
  1. Choose the method by which you want to be paid, direct deposit or check. Direct deposit is highly recommended. 

  2. If you choose Check, simply click Save & continue and you will proceed to the next step.
  3. To set up direct deposit, select Direct Deposit from the drop down menu and click on Add bank account.

  4. This will open the Payment details page, where you will enter your bank account information, including 9-digit routing number, account number and account type (checking or savings).

  5. After filling out the information, click Save & continue.

  6. You will receive a message stating that your bank account information has been saved.

  7. Then you will be asked to verify that all the information is correct. 

  8. If you would like to split your deposits across multiple bank accounts, click Add bank account and enter and save your payment details as before.
  9. You will now be given an option to Split employee paycheck
  10. Click Split paycheck and fill out the information.
  11. Click Save & continue.
  12. You will then be brought to the Sign Employee Documents page.

Documents


  1. To sign a document, click on the document link. A Document details page will open allowing you to review and download the document if desired.
  2. At the bottom of the page click Sign document. This will result in a Signature text field being displayed. Type in your name, check the I am the employee and I agree to sign electronically checkbox and click Sign.

  3. Click Save & continue.
  4. You will then receive confirmation that your setup is complete.
  5. At this point you can close this tab and return to the GroundCloud Dashboard. Your company’s Payroll Administrator will review and confirm your account to complete onboarding.

FAQ:


  1. If my legal name is different from what is used in GroundCloud, will my GroundCloud profile be updated to match what I enter for payroll onboarding?
    1. No, your GroundCloud profile will remain the same.
  2. What is my filing status and how do I complete the federal and state tax withholdings setup?
    1. Although we cannot advise what to put for your withholdings, we can point you in the direction of the W4 form and the IRS calculator. A CPA will also be able to give some guidance on this.
